Cooling Off Period

From the time of booking, we offer a 48-hour cooling-off period during which you may cancel and receive a full refund at no extra cost. Please note that this cooling-off period does not apply if your booking is made less than 48 hours before your child’s first session.

Cancellations & Refunds

  • Up to 72 hours before the session: Cancel up to 72 hours before the session start date to receive full credit. No cash refunds are given.
  • 24–72 hours before the session: Cancellations made within this window will receive 50% credit. No cash refunds are given.
  • Within 24 hours or after the first session: Cancellations made within 24 working hours or after a booking has started will not be refunded or credited.

Illness & Rescheduling

If your child becomes unwell within the non-refundable window and you inform us before the session, we may allow a free reschedule to another day within 14 calendar days.


Collection Procedures

Our team uses a register system to sign children out safely at the end of each session.

Late Collection Fees

Smash Sports reserves the right to charge for late collection:

  • £5 for every initial late instance per child
  • An additional £5 per 15-minute interval thereafter

Unpaid fees will be invoiced by email. Repeated late collection may result in cancellation of your child’s place without a refund for remaining sessions.


Absence & Illness

Please inform us as soon as possible if your child will be absent to avoid safeguarding concerns. If a child is unwell and unable to attend, we may offer to transfer their session within 14 days, where appropriate.

If your child becomes unwell during a session, a parent/guardian will be contacted for collection.


Food & Drink

Important: No nuts or sesame products (including Nutella, hummus, or cereal bars) are allowed at any Smash Sports session.


Timetables

Weekly holiday club activity timetables are subject to weather and group dynamics. These are subject to change without notice. Refunds or compensation will not be offered due to schedule changes.


Child Protection / Safeguarding

All Smash Sports staff are trained and have a legal duty to report concerns or disclosures regarding child abuse. We will contact the appropriate local authority and act on their guidance.


Lost Property

Children should not bring valuables. While we do our best to return items, Smash Sports is not responsible for lost belongings. Unclaimed items are donated to charity after 4 weeks.


Child Information

At the time of booking, you must provide accurate information regarding your child’s date of birth, medical needs, behavioural concerns, and additional needs. Incomplete or inaccurate information may result in exclusion from activities or booking cancellation.


Medication

If your child needs medication during sessions, you must:

  • Submit a permission form and healthcare plan
  • Provide the medication onsite

Accidents & Incidents

Basic first aid will be administered when needed. All incidents are logged and parents notified via email.

In serious cases, including head injuries or hospital treatment, parents will be contacted immediately. If unreachable, consent is required for staff to act on your behalf in seeking emergency care.


Photography & Video

Photos or videos may be taken for training and promotional purposes. Consent is requested during registration. You may opt out at any time.

Images may be shared on social media, though we cannot guarantee all children will appear.



Insurance

All children in our care are covered under our public liability insurance.


Abuse of Staff

Any physical, verbal, or emotional abuse toward Smash Sports staff will result in the immediate termination of your child’s place. We reserve the right to report incidents to the police.


Complaints

If you’re not satisfied with our service, we welcome your feedback. Please email complaints to: smashsportsuk@gmail.com


Non-Solicitation

While your child attends Smash Sports, and for 12 months after:

  • Parents agree not to solicit any Smash Sports staff
  • Schools agree not to directly or indirectly recruit our staff

Data Protection

Smash Sports collects personal data to facilitate your bookings. You are responsible for ensuring consent is obtained to share this information. Data may be used for marketing unless you opt out.
